State facts only, No guessing, Center action (or lack of it) from them regarding the issue. Protect yourself if the system later tries to rewrite reality.
Silence is also information. Big Picture (And This Matters) In dysfunctional systems: Following up can be twisted into “pressure” Not following up can be twisted into “non-compliance” So the best thing you can do is make it brief and factual through documented communication—or none at all.
Example.
I don’t act on assumptions. I need a clear response. Please confirm next steps by [date], or I’ll proceed accordingly. When appointments are missed without notice, it creates confusion and unnecessary escalation. I rely on actions, not assumptions. Please let me know how you’d like to proceed. No call, no show on [date]. No follow-up received.
